Family Coordinator – Job Description

Summary:
The Family Coordinator is a full-time, salary position reporting to the Director of Programs. This position is responsible for acting as the primary liaison for all families enrolled in the RAVE Family Center, Jr. RAVE & Teen RAVE, and Rural Respite and Voucher programs. The overall duties include but are not limited to recruitment, intake, and enrollment, maintenance of files, communication, scheduling, voucher distribution, tracking, family support and program growth. This position will oversee family coordination for two main Northern Nevada sites, two satellite sites, 16 respite sessions per week and three community outings per month. The Family Coordinator is also expected to contribute to the overall success of the nonprofit organization by assisting leadership with other aspects of business operations as needed and assigned.
Duties and Responsibilities:
- Provide overall management of family recruitment, intake, enrollment, communication, scheduling, and support while enrolled in RAVE programs.
- Assist in setting and maintaining respite program goals, objectives, and outcomes.
- Create and maintain yearly session calendar.
- Schedule families and fill daily sessions.
- Update yearly enrollment application for families for all RAVE programs.
- Provide families with appropriate referrals to community agencies and notify families of community events.
- Maintain knowledge of the other available community resources throughout Nevada to provide resources and referrals as needed to meet the family’s needs or to refer a family who does not qualify for RAVE programs.
- Prepare, input, and maintain client information and children/family records into appropriate tracking and reporting systems, either electronically or hard copy.
- Assist w/administrative duties such as answering phone calls and greeting families.
- Correspond with families through flyers, brochures, recruitment, intake forms, calendars, evaluations, letters, newsletters, and special event invitations and emails.
- Update and distribute pre-and post-program evaluation to families enrolled in the RAVE programs.
- Collect, calculate and report family outcome information received such as family usage of services, growth in # of families, services, etc.
- Facilitate and present to potential new families through recruitment presentations.
- Under organization leadership, assist with growth of and recruitment for rural programming for RAVE.
- Assist to evaluate program, employees, and volunteers
Education/Experience:
- Minimum of 2 years nonprofit organization employment or volunteer experience
- Minimum of 1 year program development experience
- Bachelor’s Degree in Early Childhood Development, Special Education and/or Human Services, and/or equivalent relevant experience
Necessary Skills and Traits:
- Must demonstrate initiative, self-motivation, creativity, and vision
- Must have the ability to work with limited supervision
- Must have the ability to express ideas clearly and concisely both orally and written
- Must have and continue to obtain skills including but not limited to Microsoft Office programs which include Excel, Word, Access, Publisher, and PowerPoint
- Have experience in the non-profit arena, working with individuals who have disabilities, or equivalent
- Ability to handle and maintain confidential information
- Ability to handle a multitude of activities and events at once
- Bachelor’s Degree in Early Childhood, Special Education and/or Human services, and/or equivalent experience in position related to human services
- Ability to create and sustain relationships with RAVE families and staff
- Ability to maintain basic community relations through in person and outlets
- Must possess, or can possess within 30 days of employment, a Washoe County Sheriff’s Card, CPR certification, and negative TB test
- Proven successful fund development and grant writing/managing experience.
- Ability to handle and maintain confidential information.
- Ability to work a flexible schedule to meet the needs of the overall operations of all RAVE programs including but not limited to the RAVE Family Center, Jr. RAVE, and Teen RAVE.
- Ability to handle a multitude of activities and events at once.
Physical Demands:
- Able to sit or stand and walk throughout the scheduled work shift
- Able to lift and/or move up to 75 lbs.
